The United Nations Development Programme (UNDP) is currently seeking applications from the eligible applicants for the post of Assistant General Project (PADIT) based in Havana, Cuba.
UNDP supports national democratic transitions by providing policy advice and technical support, improving institutional and individual capacity within countries, educating populations about and advocating for democratic reforms, promoting negotiation and dialogue, and sharing successful experiences from other countries and locations.
Key Job Responsibilities
The Assistant General project (PADIT) will perform the following functions-
- Participate in meetings of project monitoring, proposing specific for improving financial efficiency of the project management actions.
- Support the financial monitoring of the project, ensuring that the requested expenditures correspond with the project work plan and budget approved
- Preparing financial reports quarterly, annual and final draft in time and with the required quality, in conjunction with the / Coordinator / a project, making sure that they are prepared in the format established and ensure that they are delivered to the donor time, in compliance with the agreement.
- Perform project cost estimates and financial requirements, in conjunction with the / the Advisory / a Chief Technical and tracking of project costs, ensuring that correspond to the approved budget and proposing budget revisions when necessary.
- Receipt and review of applications for payment of the project, ensuring compliance with the requirements and the approved budget.
- Making payment processes in the ATLAS accounting system that apply to you (posting of payments, validation of their budgets) and follow the process to its approval and issuance of payment.
- Reconciliation of the costs with the project leaders for national and territorial part, issuing the reports and invoices recepcionando payments.
- Sending Reports monthly, quarterly, semiannual and annual reports to the National Project Office and MINCEX expenses.
- Monitoring the process of settlement of bills, certification of the goods or services received, the office of Finance UNDP, keeping up to date situation reports.
- Ensure proper updating of financial records related to payments and inventory.
- Keep updated and available at any time the electronic file of payments, cancellations and other financial reports of the project.
- Supporting the preparation and participation in committees Shopping for procurement of the project where appropriate.
- Participate in the process of audits, evaluations and project closures.
- Participate in the financial monitoring and project inventory at local and national level.
- Editorial communications, letters, etc. related to the project.
- Maintain current and archived reports of non-expendable inventory means acquired by the project, to be presented by the National Project Director.
- Tracking and monitoring of administrative matters in the territories;
- Support in conducting the sessions of the National Coordination Committee and the Technical Secretariat
- Timely and efficient support to the realization of seminars, workshops, courses, assignments, traveling to the territories, production and review of program documents, maintaining records, data, correspondence, agendas, etc.
- Reserve tickets and rooms for meetings and other logistical arrangements required by the program.
Eligibility Criteria
Applicants must have-
- University in economic sectors, accounting, business administration or other related.
- Knowledge of administrative and operational issues.
- General knowledge of procurement processes.
- Domain Office package.
- Knowledge of accounting software is considered an added value.
- Minimum 3 years of work experience linked to the management / administration of budgets cooperation projects, tasks associated with accounting and financial or other related areas.
- Proven ability in managing financial budgets or payment processes.
- Experience working with international organizations and institutions is desirable.
- Work experience in the context of draft United Nations or other multilateral or bilateral agencies, is considered an added value.
- Excellent skills in oral and written communication as well as reading Spanish interpretation.
- Basic knowledge of the English language oral, written and reading performance.
